Event Photography Planning Tips

Email a schedule / agenda of the event including details and a shot list to us prior to the event. Consider key moments, important people, and branding elements. This will ensure all the important shots are captured.

Assign a person to be the on-site contact for the photographer who can help direct people for group shots, introduce people for posed shots, point out things from the shot list to captured, etc.

Inform your guests that photography will take place at your event and how the photos may be used. This is typically done using signage at the entry points or during RSVP / ticketing processes. Consider a plan if your guests wish not be photographed.

For a cohesive look, be sure to communicate with attendees what you’d like them to wear.

If you will have speakers at a podium, consider stage lighting so the speaker is well lit without the need for flash photography. If the speaker will be bringing a beverage to the podium, instruct them to put it behind the podium out of sight so it’s not in the photos. If there will be any group photos following speeches, instruct the speaker to direct those who will be getting photos to the photo area so they know to gather for the photo.

If other photographers will be taking photos at the event, please discuss with us prior to the event.

If we are doing portraits on a backdrop or step & repeat photos, consider the backdrop size and space needed to take the photos.

If we will be printing on site, we will require a shoot area near an electrical outlet and table space for the print station and print pickup. A wi-fi internet connection is also helpful.

Consider all the ways event photography images can be used: Social media, Digital Articles, Magazine Articles, Print and Digital ads, Website, Future Promotions, E-mail and Print Newsletters, Press releases.
